Objective(s) –  To keep the LDFGA financial affairs current and correct. To provide financial statements at the monthly and annual meetings.

General Duties / Information

  • Maintain an accurate and complete file of information to be passed to the next treasurer
  • Ensure all transactions and associated record keeping is done promptly and accurately
  • Banking institution: Lloydminster Credit Union
  • Year end: October 31
  • Signing authority requires 2 signatures from the following: President, Vice President, Treasurer and Secretary
  • Ensure the President is regularly apprised of the association’s current financial status
  • Auditing of books is done by a committee appointed annually by the executive
  • Collect all bills, invoices, expense vouchers, etc. from association members at the monthly meetings and present them for payment authorization at that time
  • Accept monies from fundraising initiatives and complete deposit slips, providing one for the chairperson of the particular fundraiser
  • Use cheques for all payables
  • Utilize the bank month-end statements, cheque book , general deposit book and bingo deposit book to enter all financial transactions into the record books each month
  • Reconcile the bank statements each month
  • Ensure signing authority required by the Credit Union is current and accurate
  • Provide float cash for bingos, gun shows or lottery sales as required
  • File all paid invoices and year-end financial statements

Specific Duties / Information

Bingos / Nevadas

  • Funds are kept in an account separate from the general account
  • Bingos and Nevadas each require separate deposit slips
  • Items identified in the bingo budget must be paid from the bingo account to ensure compliance with provincial regulations
  • Concession items for bingo workers are paid from the Nevada account
  • Bingo account requires only 1 signature – Treasurer or Bingo Chairperson
